This article is everything you need to know about setting up the Late Cancellation and No Show fee.

(1) Click on Settings → Registration
(2) Set the late cancellation fee parameters:
- Minimum Time - Chose the minimum time a client will have to unregister before class
- Enable late cancel feature - Set this field to ‘yes’
- Charge no Show and Late Cancellation Fees - By setting this field to “yes” A new tab will open and allow you to set the price for late cancel.
- Enter the amount that will be charged to the client for a now show or late cancellation. This amount will be the standard for all membership once the feature is activated.
Note: the amount can be changed for different memberships, internally.
Good to know: If you offer services, this feature is available for appointments as well! You’ll need to set your late cancel parameters under Services Registration Parameters.
Once activated in settings, you can also customize every membership on their own.
For example, you may want to deactivate the fee for a pack membership since the user will already lose a class from their pack.
You can also decide to customize the pricing for a specific membership for it to be lower or higher than the set general set amount.
Customize the late cancel/no show fee within a membership
(3) Membership settings:
- For created Memberships - General tab > Membership > (3) dots action button > Edit
- For New memberships- General tab > Membership > Add new membership
- The late cancellation auto charge fee will be set to “yes” by default in all memberships. You can deactivate it for any membership.
- Cancellation fee: As the price has already been pre determined through your general settings, there is always the option to modify the price inside each individual membership.
NOTE: Avoid activating the late cancellation fee for memberships such as packs. Pack memberships are set up to deduct a class if there is a no show or once they are set to no in attendance. If you decide to add the late cancellation fee, there will be a deduction of both a class and Fee added for the client.
How does it work ?
Late cancel : If the user cancels later than the setting allows it (or owner marks attendance as late cancel), the fee will be automatically generated a few seconds later for the next day.
You can see the fee in the ‘Payment tab’ of the user’s profile with the description below.
No show: If a user's attendance is set to «No» by coach/Admin the fee will be generated for the next day after the class ends automatically. That allows you to change the attendance for the user during the class time for example if the user shows up a little bit late.
The payment is generated for the next day to allow you to do any manual correction you may need to do. It gives you 24h to delete that fee if necessary.
User notification:
(4) On web or mobile app, when a client decides to unsubscribe to a class outside of the minimum time frame provided, it will be considered a “Late cancellation”. A pop up alert will appear once the client decides to cancel warning them:
- The time frame is past the minimum time to cancel
- There will be a fee of $$ to unregister
- Do they still wish to cancel
Once the client confirms this transaction, a fee will be added to their profile for the late cancellation.
