Managing Staff Timesheets (For Managers)

Accessing Timesheets
  1. Navigate to Manage Staff
  2. Click the Timesheets tab
You'll see a table with all staff time entries including:
  • Employee name
  • Date
  • Clock-in and Clock-out times
  • Break duration
  • Total hours worked
  • Any notes
 
Filtering Timesheets
By Date Range:
  • Select from quick options (Today, This Week, This Month) or choose custom dates
  • Click Apply to update the view
By Employee:
  • Select one or multiple employees from the dropdown
  • Click Apply to filter
 
 
Editing Time Entries
If staff forget to clock in or out, you can correct their entries:
  1. Find the entry in the Timesheets table
  2. Click directly on the time field to edit
  3. Modify:- Clock-in or clock-out times
  • Break times (add, remove, or adjust)
Validation:
  • Clock-out must be after clock-in
  • Break duration cannot exceed shift length
  • System will alert you if creating overlapping shifts
Audit Trail: All edits are tracked with:
  • Who made the change
  • When the change was made
 
 
Deleting Time Entries
To delete an incorrect or duplicate entry:
  1. Click the three-dot menu (⋮) on the entry
  2. Select Delete
  3. Enter a reason for deletion (minimum 10 characters)
  4. Click Delete
Note: Deleted entries are retained in the system for audit purposes and can be viewed by enabling the "Show deleted entries" filter.
 
 
 
Adding Missing Time Entries
If staff forgot to clock in or out entirely, you can manually add their shift:
  1. Click Add new shift button (top-right)
  2. Select the employee
  3. Enter:- Start date and time
  • End date and time
  • Break duration (format: HH:MM, e.g., "0:30" for 30 minutes)
  • Optional notes
  1. Review the automatically calculated shift duration
  2. Click Save this shift
Note: Manual entries are tagged as "Manual entry" to distinguish them from staff-recorded clock-ins.
 
 
Exporting Timesheets
To export timesheet data for payroll:
  1. Apply any desired filters (date range, employees)
  2. Click Export button (top-right)
  3. An XLS file downloads automatically
The export includes:
  • Employee name
  • Date
  • Clock-in and clock-out times
  • Break duration
  • Total hours worked
  • Any notes
  • Modified timestamp (if edited)
  • Source (Clock-in or Manual entry)
Use this file to import into: ADP, QuickBooks, Excel, or any payroll system.
 
 
FAQ
Q: Can I edit my own time entries?
A: Yes, if you have "Can manage staff timesheets" permission, you can edit any entries including your own.
Q: What if a staff member doesn't clock out?
A: The shift remains active. Edit the entry to add the clock-out time.
Q: How do I view deleted entries? A: Enable the "Show deleted entries" filter in the Timesheets tab.
Q: Can staff see their own timesheets? A: Not in the current version. You can show them their hours or print a timesheet for them.
Q: What's the difference between "Clock-in" and "Manual entry"? A: "Clock-in" = staff clocked in themselves. "Manual entry" = manager added the shift manually.
