This article will outline the check-in option and the different settings available for customizing your experience.
Check-in option:
With the Fliip application and in collaboration with the Passeport Technologie platform, you can link a chip detector directly to your platform. Passeport Technologie supplies the chips and chip detectors. Thus, members can proceed to their registration (check-in) by presenting their chip at the entrance of your gym.
When creating your platform, we may add or remove the electronic registration option in your application settings. This allows you, at a glance, to see information about your members. When the member places his chip on the barcode detector, his profile appears on the screen.
Settings > Check-in:
Time delay for class check-in: You can set a time window (e.g., 30 minutes, 1 hour, etc) where the system will verify if a member has a class reservation when they scan in.
Required classes reservation: When this is enabled, only clients that are registered for a class within specified time delay will be able to access the gym.
Automatic attendance: If this is enabled and a client checks in and is registered to a class within the specified time delay, they will be automatically marked as present for their class.
Add a visit to client’s visit history tab: When a client checks in, a visit will be added to their profile and deducted from their membership if there are no class registrations within the specified time delay.
Count a visit even if scan is invalid: If a client is blocked access (for example, because of an overdue payment), this setting will still add a visit to their profile and deducted from their membership.
Automatic update on check-in page: This allows you to automatically update your page on a regular basis and update customer information. We always recommend having this setting enabled when integrated with Passport Technologies.
Expiring memberships notification: You can set the number of days remaining on a membership to trigger a notification at check-in.
The Check-in page:
Click on the Check-in tab at the top of the page on the right.
You will be taken to the Check-in page. You have access to several information such as the history of recordings and visits, the status of the member as well as the status of his membership.
Since each member presents their chip at the Check-in counter, it will be easy for you to quickly see if any payment or membership is in order according to a colour system (red, yellow, green).
You can also have access to the member's visit history. By selecting the filters located above this history, you can quickly classify the history information.
Check-in Notifications:
From a client's profile, you can select a status for check-in notifications.
There are three statuses:
🟢 Access Granted
🟡 Attention Required - Notification appears, access granted
🔴 Access Denied - Notification appears, access blocked
By default, the status for all clients is 'Access granted' unless otherwise changed.
When you select Attention Required or Access Denied, the system will prompt you to leave a note. You can set an expiry date for the note, which also serves as the expiration date for the notification.
Then, when a client checks-in, a notification will appear to either alert staff of a note on the client’s profile, or to block the client from checking in.
By clicking on 'account notes' from the check-in page, staff can review the notes directly.
You can also review the different changes of statuses on a client's profile, by clicking on the 'Status History' tab under Notes.
Profile picture modifications:
With the check-in feature enabled, it is possible to restrict your clients from changing their own profile pictures.
1. Go to Settings > Registration > IDs and Check-in
2. The setting "Allow members to change the profile picture" must be set to 'No' to restrict your clients.
