Important: Adyen payment terminals are only available to gyms using Adyen as their payment processor in FLiiP. If your gym uses another provider, terminals are not supported.

Understanding Terminal Modes

Your Adyen terminal can operate in two modes:

Standalone Mode

In standalone mode, the terminal operates independently from FLiiP. It processes payments directly through your Adyen account, but these transactions are not linked to any FLiiP record. This means:

  • Payments are processed and settled through your Adyen account as usual.
  • Transactions are visible in your Adyen reports, but not in FLiiP's payment history.
  • Actions taken on the terminal (payments, refunds) have no impact on FLiiP data.
  • Standalone transactions cannot be retroactively linked to a FLiiP transaction.

Only certain terminal models support standalone mode. Contact FLiiP support to find out which models are compatible.

Integrated Mode

When the integration is activated by the FLiiP support team, your terminal is fully connected to FLiiP. All transactions processed via the terminal are:

  • Recorded in FLiiP's payment history and linked to the corresponding member and transaction.
  • Also visible in your Adyen reports (terminal transactions always appear in Adyen, regardless of the mode).

Getting Started with Your Terminal

Unboxing and Setup

Once your terminal arrives:

 

💡 Tip: If you need to reboot the terminal at any point, long-press the power button.

📄 Paper rolls: The S1F2 terminal uses 40 mm wide paper rolls. Make sure to order extras in advance.

Initial Testing (Required Before Going Live)

Before processing real payments, complete the following tests using the credentials sent with your terminal:

Payment tests:

  1. Process a payment with a credit card
  2. Process a payment with a debit card

Using the passwords provided:

  1. Perform a refund from the terminal
  2. Access the Transaction menu
  3. Access the Settings menu

Terminal Configuration (Handled by FLiiP Support)

Terminal configuration is managed by the FLiiP support team — you do not need to configure the terminal yourself. Configuration options include:

  • Tipping: Can be enabled or disabled per terminal. When enabled, the terminal will prompt the customer to select a tip percentage (typically 15%, 18%, or 20%).
  • Other custom settings can be applied based on your specific needs.
  • Access credentials are sent to you along with the terminal when it is shipped.

To request a configuration change, contact FLiiP support.

Accepted Payment Methods

Your Adyen terminal accepts the following payment methods by default:

  • 💳 Credit cards (Visa, Mastercard, Amex)
  • 💳 Debit cards
  • 📱 Mobile wallets (Apple Pay, Google Pay)
  • 🍁 Interac (Canada only)

All terminals are EMV certified and PCI compliant. Contactless payments are supported.

 

Managing Your Terminals in FLiiP

Once integrated, your terminals are visible in the Settings > Payments > Terminals tab.

 

What You Can See in the Terminals Tab

Serial Number The unique identifier for your terminal hardware.

Model The model of the terminal (e.g., S1F2, SFO1, M450).

Firmware The current firmware version installed on the terminal.

Custom Name An editable label to identify the terminal (e.g., "Front Desk", "Reception 2").

Status Indicates whether the terminal is currently connected or not (sourced from Adyen).

Enabled / Disabled Allows you to activate or deactivate a terminal within FLiiP.

Custom Name

You can rename your terminal to match its physical location or purpose. This name will appear in the payment dropdown when your staff processes a payment. We recommend using a clear, location-based name (e.g., "Front Desk", "Smoothie Bar").

Connection Status

The connection status reflects whether the terminal is currently online, as reported by Adyen. This indicator may take a few minutes to update after changes (e.g., after powering the terminal on or off).

Accepting a Payment via Terminal (Staff Flow)

Terminal payments are initiated by staff members from the FLiiP interface — not by the customer.

  1. In FLiiP, navigate to the payment screen for the member or transaction.
  2. Select the payment method and choose your terminal from the dropdown list (terminals are listed by their custom name).
  3. Confirm the amount and initiate the payment.
  4. The terminal will display the payment request — follow the instructions on the terminal screen.
  5. The customer taps, inserts, or swipes their card.
  6. Once approved, the transaction is automatically recorded in FLiiP.

Processing Refunds

Option A — Refund from the Terminal

A staff member can process a full refund directly from the physical terminal, without using FLiiP. Adyen will notify FLiiP automatically and the transaction status will update to Refunded in the payment history, provided the transaction was originally processed with an integrated terminal.

Option B — Refund from FLiiP

You can refund a transaction processed via an integrated terminal just like any other transaction in FLiiP — from the transaction detail view in the payment list or the member's profile.

Note: Only full refunds are currently supported for terminal transactions. Partial refunds are not yet available.

 

Order a New Terminal

You can order additional terminals at any time directly from your FLiiP settings. To do so, click the link directly in Settings > Payments > Adyen Terminals.

Terminals are shipped directly from Adyen's warehouse to your gym — no inventory management required on your end. Contact FLiiP support if you have any questions about ordering.
