Understanding Your Adyen Reconciliation Report
Introduction
This Adyen report is an essential tool for tracking and reconciling payment transactions processed through Adyen. It provides a detailed breakdown of each successful transaction, chargeback, and transfer to your bank account. This guide will help you understand the different columns in the report and how to use it effectively.
This report is only available if you are using Adyen as a payment processor.
As of today, this report is sent by email, at the beginning of each month
How Does the Report Work?
Think of this report as a bank statement. Each line represents a transaction that affects your balance (Balance Account).
- Credits correspond to successful payments
- Debits correspond to chargebacks or transfers to your bank account
- Failed transactions are not included because no funds are transferred.
Key Columns in the Report
- Gym Name: Identifies your establishment.
- Balance Account: Your virtual balance with Adyen.
- PSP Payment Reference: Adyen transaction number. Keep this for any questions or issues.
- PSP Payment Merchant Reference: The transaction reference in FliiP. This makes reconciliation with your FliiP payment list easier.
- Transaction ID: Adyen's transaction ID.
- Booking Date: The date the payment was made.
- Booking Date TimeZone: The timezone of the payment date.
- banktransfer_transaction_id: This transaction was including in the bank transfer with this ID. Please look for this ID in a row with the type "Bank Transfer". If you don't find it, check the next/previous report.
- If you can't find the bank transfer, you will have to wait for the next report.
- If this is empty, it might be because the bank transfer wasn't there at the moment of the report generation
- Amount Paid by Member: The amount charged to the member.
- Gym Amount: The amount credited to your account, after Adyen fees are deducted.
- Transaction Fee: Fixed fees charged by Adyen for the transaction.
- Variable Fee: Fees based on a percentage of the transaction, according to your agreement.
- Currency: The transaction currency (e.g., USD, EUR).
- Type: The transaction type:
- Capture: Successful payment.
- Chargeback: Payment disputed and refunded.
- Bank Transfer: Transfer of funds to your bank account.
- Member firstname / member lastname : name of your customer
Reconciliation Tips
- Use the References: Match the Merchant References to the corresponding entries in FliiP for accurate reconciliation.
- Consider Delays: Funds may take a few days to transfer to your bank account. Don't worry if the most recent transactions don't appear there immediately.
- Check Transaction Types: Make sure you correctly account for hargebacks and bank transfers in your reconciliation.
- Handling Discrepancies: Discrepancies (Gym Amount from Sales + Bank Transfer not equal to 0) can arise due to the timing of transactions. For example, the bank transfer amount might not exactly match the Sales Gym Amount for the current month. Some of the possible scenarios are:

- Bank Transfer < Sales Gym Amount: At the end of the month, the bank transfer amount may be less than the Sales Gym Amount because the funds for transactions from the last few days of the month may not be transferred immediately. These transactions are typically processed a few days later, meaning the most recent payments might not appear in the current month’s bank transfer. To help you reconcile what is in the bank transfer, check the the column "banktransfer_transaction_id"

- Bank Transfer > Sales Gym Amount: At the start of the month, the bank transfer may be higher than the Sales Gym Amount for that month, as it could include transactions processed at the end of the previous month.

- If you want to check the payment export match
- In the payment export, make sure to take the export by payment date and not billing date
- If you do not find a corresponding reference, check if it is not a chargeback: indeed, chargebacks sometimes change the reference number in the systems
- Filter only the payment methods managed by Adyen (remove the "cash" part for example)
