Bill the client AFTER the appointment

All the information you need to know about the ability to bill clients after their appointments.

The ‘Pay After appointment’ feature is a billing option for the services function. When selected, clients will only be billed after their appointment. 

How do I set up ‘Pay After appointment’ for a service?

When you create a new service, you’ll select ‘After appointment’ for the Billed setting. 

Note: This setting cannot be modified after the service is created. If you want to change an existing service to be billed after appointment, you will need to create it as a new service.

Does this billing option work for every service?

 No, the ‘Pay After appointment’ billing option is only available for Packs only.

If your service includes multiple appointments, Example : 5 private trainings for 500$ (100$/each)  each appointment will have an individual payment to be made after the appointment manually. 

How do I see all appointments that are unpaid?

On the List of Payments, select the tab called ‘Unpaid services’.

You will see a list of all unpaid appointments with the following information: Name of the service, appointment and billing date, name of the client, amount and payment method. 

Once paid, the transaction will be removed from this tab and be listed under the ‘Active payments’ tab.

How do I charge my clients after their appointment?

You have two options on how to charge clients after their appointments.

Option 1: 

  1. From the ‘Unpaid services’ tab, in the client’s profile (payment tab) or in the list of payment:  locate the appointment/client.
  2. Click on the three dots and ‘Pay now’. 
  3. This will bring you to the Point of Sale, where you can change the payment method, add a promo or discount, etc. 
  4. Complete the sale.

The transaction will now be visible in the ‘Active payments’ tab instead of the ‘Unpaid services’ tab.

Option 2:

  1. From the Appointments calendar, locate the appointment. 
  2. Click the three dots and select ‘Pay now’.
  3. This will bring you to the Point of Sale, where you can change the payment method, add a promo or discount, etc. 
  4. Complete the sale.

The appointment will now be labeled as ‘Paid’, instead of ‘Unpaid’. 

Note: The system does not automatically charge the client after an appointment - this is a manual step that must be completed.
